Receptionist / Administrator

Permanent Intermediate position

We are urgently seeking a professional, well-groomed, and well-spoken Receptionist/Administrator to join a reputable and dynamic organisation. This is a key frontline role requiring a self-starter with a strong background in reception and administrative support.

The successful candidate will ideally be available to start mid-month to allow for a two-week handover with the current incumbent, who is leaving at the end of the month.

Key Responsibilities

Reception & Administration:

  • Operate the switchboard and provide a welcoming front-line presence to clients and suppliers
  • General filing and admin duties
  • Record and manage training delegate registrations and feedback
  • Conduct stock take and order stationery and refreshments
  • Typing and general assistance to consultants
  • Support with course production and venue readiness
  • Provide backup support to the General Manager and Hostess
  • Carry out tasks as assigned by management

Coaching App Support:

  • Offer front-end and back-end user support for the Coaching App
  • Liaise with developers when technical issues arise

Training & Apex Support:

  • Assist in preparing the venue for training, video shoots, and other activities
  • Manage logistics, catering, and on-site setup for events

Training Administration:

  • Prepare training materials including delegate and proxy binders
  • Maintain the Public Program register

Customer Liaison:

  • Provide client support and communication as needed

Candidate Profile:

  • Prior experience in a receptionist and/or administrative role
  • Excellent verbal and written communication skills
  • Professional, polished appearance and demeanor
  • Strong organisational and multitasking abilities
  • Tech-savvy and comfortable with basic systems and app support
  • Proactive, reliable, and able to work independently
